The Role
As an Operations Assistant – Inventory, Logistics & Supply Coordination, you will be responsible for the day-to-day flow of ingredients and materials across our production and storage locations.
This is first and foremost a hands-on operational role. Mayor part of your time will be spent working actively with in the production area: receiving and checking deliveries, putting products away, organizing storage locations, preparing pallets and transfers, performing stock counts and supporting production.
Some of our ingredients have longer lead times and require careful planning and close supplier follow-up. You will therefore need to be comfortable looking ahead, understanding upcoming production requirements and taking action early when something may not arrive as planned.
This is a role for someone who enjoys combining practical work with planning and problem-solving. You should be equally comfortable preparing a pallet for collection, checking inventory in our ERP system and contacting to follow up on an upcoming delivery.
What You Will Do
Inventory Management
Receive raw materials, register them in ERP and ensure they are stored correctly and promptly.
Ensure transfers are correctly registered in the ERP Software, and ensure inventory is updated and reconciled across all sites: production, and external warehouses.
Run weekly cycle counts and end-of-month inventory, and help develop an improved counting systems to ensure long term accuracy.
Keep warehouse storage organized, clearly labelled and make the best use of available storage capacity.
Track waste and slow-moving stock together with production and propose solutions.
Run stock checks to ensure supplies for upcoming productions are available and adjust ordering or flag shortages when needed.
Run stock adjustments and support production with inventory closing after larger productions.
Logistics
Coordinate frequent transfers of ingredients and materials between production, warehouse and external storage locations.
Prepare goods and pallets for transfers, ensuring they are correctly packed, labelled and ready for collection.
Book and coordinate transport with external transport companies and storage partners.
Create transfers in Tracelink and ensure stock movements are registered accurately.
Coordinate handovers with transport companies and follow up to ensure goods arrive at the correct location and are received correctly.
Resolve practical issues related to collections, deliveries and transfers, communicating proactively with the relevant internal and external partners.
Purchasing & Procurement
Active communication across teams is a key part of the role. You will coordinate how and when ingredients and materials arrive and move between locations, considering production plans, delivery volumes and available storage capacity.
Coordinate with production team upcoming material needs and plan supplies calendar accordingly to
Create and follow up on purchase orders, keeping clear visibility on supply status and delivery deadlines.
Coordinate deliveries and ensure smooth communication between suppliers, warehouse and production.
Maintain up-to-date supplier lists, ingredient cost records, organic certificates and product specification sheets.
Research and propose new suppliers to improve ingredient quality or reduce costs, tracking options, costs, MOQs and lead times.
What We Are Looking For
We are looking for someone who enjoys operational work and takes pride in making things run smoothly.
You may have a minimum of 1–2 years of experience working with inventory, logistics, purchasing, supply planning, warehouse operations, food production or a similar environment.
Practical experience and the right mindset are the most important to us.
You should:
Have some experience or understanding of planning supplies and working with stock, purchasing or deliveries.
Be comfortable following up with suppliers and coordinating deliveries, including supplies with longer lead times.
Be highly organized and able to keep track of multiple orders, deliveries, and production requirements at the same time.
Be proactive: when something is missing, delayed, or incorrect, you investigate it and act rather than waite for someone else to solve it.
Have strong attention to detail, particularly when handling inventory and ERP transactions.
Be comfortable using Excel. Experience with ERP or inventory systems is an advantage.
Enjoy working closely with production and other operational teams.
Be comfortable with physical work, including receiving, lifting, moving, organizing and counting goods.
Be fluent in English; Danish is an advantage.
Have a forklift or pallet lifter certificate or be willing to receive training.
Who Will Enjoy This Role
This role could be a great fit if you like seeing the direct result of your work.
You enjoy being on your feet and close to the operation, but you also like planning ahead and keeping things organized. You might spend part of your morning receiving and storing a delivery, then check whether an ingredient needed for next month's production is delayed, update the ERP system and prepare a transfer for collection in the afternoon.
You naturally ask: What does production need next? Do we have enough? Is it arriving on time? And if not, what do I need to do about it? Why is the inventory not matching? What can we do to reduce discrepancies?
As you develop in the role, you can take increasing ownership of supply planning, supplier coordination, inventory accuracy and operational improvement projects. However, the hands-on inventory and logistics responsibilities will remain an important part of the position.
